What type of information we have
If you are a customer (including subscribing to the newsletter) or partner, we collect the following information: Name, address, telephone number, e-mail address, payment information, order information and customer support communication.Â
For customers who use our webshop, data is collected by Shopify (see data processor agreement). To book shipments we use Shipmondo (see data processor agreement). Invoices etc. are handled by Business Central (see data processor agreement). In connection with marketing/advertising data is shared with Meta (Facebook and Instagram) but with a limited data level (“Conservative”) to protect your privacy (see more below).
If you are a volunteer, we collect the following information:
Name, address, telephone number, e-mail address and place of employment / examination.
If you are a "warfair friend" we collect the following information:
Name, title, telephone number, e-mail address and place of work / study.
If you are the applicant for a position in the warfair team, we will collect the following information:
Name, title, address, telephone number, e-mail, signature, contractual relationship, previous education and place of employment.
If you are warfair staff we collect the following information:
Name, initials, title, address, telephone number, e-mail, date of birth, photo, signature, CPR no, contract relationship, salary, previous education and place of employment.
Cookies and statistics
Cookies are small text files that are placed in your browser by the websites you visit. They usually contain a website name and an identifier. Cookies help to improve your experience when you use our website, for example by remembering which items you have placed in your shopping basket.
We use cookies to improve your user experience by remembering that you are logged in. If you fill out a contact form, we use cookies to remember your information for another good time.
We use third-party cookies to track how you use our website – for example which pages you have visited and how long you have spent on each of them. It helps us gain a better understanding of how people use our website and how they access it – this enables us to create better campaigns.
You can prevent the placement of cookies in the settings of your browser, although this may affect the functionality of the websites you visit. Cookies on our website are not necessary, but can improve your browsing experience.

Marketing
We use Meta (Facebook and Instagram) to advertise our products, but with a limited data level (“Conservative”) to protect your privacy. We use Meta tools (such as the Meta Pixel) to measure the effectiveness of our ads and to show generally more relevant ads, based on your activity on our webshop (for example, which pages you visit and whether you complete a purchase).
Processing only takes place if you have given your consent to marketing cookies in our cookie banner. You can change or withdraw your consent at any time via the link to cookie settings at the bottom of the page. When you do not give consent, we only send very limited and non‑identifying signals to Meta, or no data at all.
As part of this advertising, technical information such as IP address, cookie ID, and information about your device and browser may be shared. We do not use the highest level of data sharing, and we seek to minimise the information shared with Meta. Meta may process this information on servers outside the EU/EEA (including the USA). The transfer takes place on the basis of Meta’s applicable certifications and standard contractual clauses. How we get the information and why we have them
The personal information we process is provided to us directly by you as part of the transaction or relationship with Warfair. Sensitive personal information is collected only as part of an application process for a warfair position or as part of a contractual relationship as a Warfair employee.
According to the General Data Protection Regulation (GDPR), the legal bases we are dependent on for processing this information:
- Your consent. You are able to remove your consent at any time. You can do this by writing to  mail@warfair.org.
- We have a contractual obligation.
- We have a legal obligation.
What we do with the information we have
If you are a customer we use your personal data to:
- Send you order confirmation and order information
- Answer questions and follow your requests
- Be able to deliver your goods and provide our services to you, including by sharing your name, address, email and order information with the shipping companies Shipmondo, GLS, DAO or DSV.
- Manage our customer relationship with you
- Provide you with offers and marketing material/advertising as long as it complies with applicable laws.
If you are a volunteer we use your personal data to:
- Coordinates work with the warfair team and other volunteers
- Provide information about organizational news and events
- Maintain our relationship with you
- Promote you on our web page (https://www.warfair.org/about) by your consent.
If you are a “friend of warfair” we use your personal data to:
- Maintain our relationship with you, including sending regular newsletters.
- Promote you on our web page (https://www.warfair.org/about) with your consent.
If you are warfair staff we use your personal data to:
- Enter into a contractual relationship with you.
- Pay wages, pensions and other types of remuneration.
- Coordinate work with the warfair team and volunteers.
- Provide information on organizational news and events.
- Maintain our relationship with you.
- Promote you on our web page (https://www.warfair.org/about) after your consent.
We do not share this information with any other organization or business without your specific consent. We do not share the information with partners in third countries that are not covered by GDPR.
How to store your information
Your information is securely stored for private customers and business partners in the warfair password protected platforms:
- Microsoft office365 warfair-platform (Teams, Sharepoint, Outlook, Business Central) (covered by Microsoft Data Processor-aftalen)
- Shopify platform (covered by Shopify data processor agreement)
- Visma E-conomic-suite (covered by Visma data processor agreement) for historic data before 1st of January 2025 - will be store in 5 years according to Danish legislation.
- Shipmondo (covered by Shipmondo data processor agreement).
The data is not stored or stored anywhere else either electronically or physically.
We only keep the information as long as there is a legal and legitimate basis for this, unless the relationship, based on mutual consent, continues after this period. For customers and commercial partners, the information is stored for 5 years to meet Danish audit requirements.
When there is no longer a legal and legitimate basis for storing the information, we will dispose of your information by deleting the records stored in all physical and electronic archives, including possible backups.
Your rights to data protection
According to the Data Protection Act, you have rights including:
- Your right to access - you have the right to ask us for copies of your personal information.
- Your right to correction - you have the right to ask us to correct the information that you think is inaccurate. You also have the right to ask us to fill in the information you think are incomplete.
- Your right to deletion - you have the right to ask us to delete your personal information in certain circumstances.
- Your right to limit treatment - you have the right to ask us to limit the processing of your information in certain circumstances.
- Your right to object to treatment - you have the right to object to the processing of your personal data in certain circumstances.
- Your right to data portability - you have the right to ask that we transfer the information you gave us to another organization or to you in certain circumstances.
You are not required to pay any fee to exercise your rights. If you make a request we have a month to answer you.

How to complain
You can complain directly to the Warfair complaint mechanism at complaints@warfair.dk. The complaint is processed by warfair's Ethical Committee.
You have the right to file a complaint with the Data Inspectorate if you are dissatisfied with our way of handling your personal information or if you do not think we are living up to our obligations to process your information.
